Ultimate Staffing is seeking a Front Desk Administrative Assistant to join a client in Fort Worth. This is a full-time, direct hire position. The role is 100% onsite. Hours for the position are Monday - Friday 8:00 am - 5:00 pm.
The Front Desk Administrative Assistant serves as the first point of contact for clients, visitors, and employees. This role is responsible for managing the front desk, providing administrative support, and ensuring smooth day-to-day office operations. The ideal candidate is professional, organized, detail-oriented, and able to multitask in a fast-paced environment.
Key Responsibilities:
Front Desk & Customer Service
- Greet and assist visitors, candidates, and clients in a professional and friendly manner
- Answer, screen, and route incoming phone calls
- Manage visitor sign-in procedures and issue badges as needed
- Maintain a clean, organized, and welcoming reception area
Administrative Support
- Manage calendars, schedule meetings, and coordinate conference rooms
- Sort, distribute, and send mail and packages
- Prepare correspondence, reports, and documents
- Maintain electronic and physical filing systems
Office Operations
- Order and maintain office supplies and inventory
- Coordinate with building management and vendors as needed
- Support onboarding activities such as badging, workspace setup, and orientation logistics
- Assist with special projects and ad hoc administrative tasks
Communication & Coordination
- Communicate effectively with internal teams and external partners
- Handle sensitive and confidential information with discretion
- Support leadership and staff with general administrative needs
Qualifications:
- High school diploma or equivalent
- 1-3 years of experience in an administrative, front desk, or customer service role
- Strong verbal and written communication skills
- Proficiency in Microsoft Office (Outlook, Word, Excel, Teams)
- Excellent organizational and time-management skills
